Name the local contact

Give the mover and property manager one authorized local contact. Define in writing who may provide keys, approve added work, sign documents, accept delivery, and report damage.

Build a photographic inventory

Use room-by-room photographs and a written list. Identify what moves, stays, goes to storage, returns north, or requires a separate decision. Record serial numbers and condition for valuable property.

Coordinate community access

Confirm seasonal service hours, gate entry, elevator reservations, vendor requirements, certificates of insurance, parking, and property-manager availability before choosing the date.

Plan for weather and vacancy

Discuss hurricane delays, power loss, air-conditioning problems, leak discovery, and inaccessible roads. Decide who can authorize emergency storage or schedule changes if you cannot be reached.

Close the loop remotely

Request written completion confirmation, delivery and room-placement photographs when appropriate, final inventory status, key return confirmation, and copies of approved changes and receipts.
